What actually fails
The list is short and the same failures recur:
The internet circuit itself, which is the provider that brings connectivity to the building rather than the phone provider.
Power, whether an outage, a tripped breaker, or the socket a network device was quietly unplugged from.
The router or switch, which are the least monitored devices in most small offices and the ones nobody is responsible for.
Wireless, which is a different thing from the internet connection and fails on its own.
A cable moved during cleaning, a delivery, or an office rearrangement, which is more common than it sounds.
The building's shared network, in a suite where the connectivity belongs to the landlord or a neighboring tenant.
Notice that none of those are the phone service. They are the path between the firm's desks and the outside world, and they belong to different parties.
Why the phones survive it
This is the piece firms consistently do not realize, and it changes what a bad morning looks like.
Cloud phone service is not located in the office. The numbers, the routing, the greetings and the mailboxes all live above the building, which means a completely dark office does not mean a firm with no phones. Calls are still arriving; the question is only where they land.
So the practical goal is not keeping the office online. It is making sure that when the office is unavailable, calls go somewhere a person is, automatically, without anybody needing to log in from a building with no power.
Confirm that as a fact about the firm's own arrangement rather than assuming it. It is one question to ask during setup and it is the most useful answer on this page.
Mobile devices are the actual failover
Most firms have already bought the failover and do not think of it that way. Staff phones running the firm's system place and receive calls on the firm's numbers over any working connection, including cellular.
Which means an office with no internet is a firm whose people can still work, provided two things are true: the app is installed and signed in on the phones of the people who answer calls, and somebody has thought about where inbound calls go when the desk phones are unreachable.
Test the first one occasionally. An app installed a year ago and never used has usually been signed out, updated, or lost in a phone replacement, and the morning of an outage is a poor time to discover it.
Arrange the automatic version in advance
Manual failover works when somebody is available to arrange it. The arrangement worth having is the one that happens without anyone doing anything.
Ask during setup where inbound calls go if the office connection drops, whether that can be configured in advance to happen automatically, and how quickly it takes effect. Then have it set up while nothing is wrong.
Also ask whether staff can change routing and greetings from outside the building, from a phone, and make sure at least two people at the firm have actually done it once. A procedure only one person understands fails on the day that person is stuck in traffic on the way to an office nobody can enter.
The wired connection question
Wireless is convenient and it is the most common cause of call quality complaints in a small office.
Wired connections for the desks where calls actually happen help more than most people expect, and they help most for whoever is on the phone longest. In an office where several people are on calls at once, the difference is not subtle.
It is also worth knowing what else is competing for the same connection. Backups, large downloads, video meetings and cloud applications all use the same pipe, and a firm whose call quality drops at the same hour every day usually has a collision rather than a phone problem.
Power, and what it keeps alive
A small uninterruptible power supply on the network equipment and the router is inexpensive and it buys the firm the ability to keep working through a short outage rather than being cut off instantly.
Be realistic about what it covers. It keeps the network devices alive, not the whole office, and it lasts minutes to an hour rather than a day. That is enough for a brief interruption and not enough for a real one, which is fine as long as everyone knows which situation they are in.
For anything longer, the answer is the mobile devices rather than more equipment. A firm that can work from phones for an afternoon does not need to power an office it cannot occupy.
The small office where nobody owns the network
Firms in shared premises, executive suites, or a floor of a larger building frequently discover mid-outage that they do not know who is responsible for the connectivity.
Find out now. Whether the internet circuit belongs to the firm or to the building, who to call about it, and whether the firm's own equipment sits behind something the landlord controls. Get an account number and a support number for whoever it is.
This one question resolves the most common thirty-minute delay in any office outage, which is a person on hold with the wrong company.
Know whose problem it is, in one minute
A quick sequence tells the firm where the failure is before anyone calls anybody.
Can a phone on cellular data, with the firm's app, make and receive calls. If yes, the phone service is working and the problem is the building. Can any device in the office reach the internet at all. If no, it is the circuit or the equipment rather than anything to do with phones. Do other tenants have the same problem, in a shared building.
Two minutes of that is worth thirty minutes of support calls, and any staff member can do it. Write it on the same page as the numbers to call.
Test it once a year
A failover arrangement nobody has tried is a document. Twenty minutes on a quiet afternoon turns it into something the firm can rely on.
Pick a slow hour, tell everybody, and unplug the office internet connection. Then watch what happens. Do calls arrive on the mobile devices. Does the automatic routing engage, and how quickly. Can somebody change the greeting from a phone. Does anyone notice anything the firm did not expect.
The findings are always small and always worth having: an app signed out, a person who never installed it, routing that goes somewhere sensible in theory and not in practice, or a greeting nobody can change because the credentials live on a machine in the dark office.
Fix those and the arrangement is real. Skip the test and the firm owns a plan rather than a capability.
What callers hear while it is happening
Decide in advance what the firm wants callers to experience during an outage, because there are three quite different options.
Calls can simply route to mobiles, in which case callers notice nothing at all, which is usually the goal. Or they can reach a message saying the firm is experiencing a technical problem and giving an alternative, which is honest and slightly alarming. Or they can reach a capture that takes their details for a callback.
Most firms want the first for the working day and the third for anything longer. What nobody should have is the default, which is calls arriving at desk phones nobody can answer.
Write the outage greeting in advance and keep it saved, so switching it on takes a minute rather than composing under pressure. And make sure it can be switched on from a phone.
Common questions
Do we need a second internet connection?
For most firms of this size, no. A backup circuit costs real money every month to protect against something the mobile devices already cover. Firms with unusual exposure should raise it with their own advisors, but it is rarely the right first purchase.
What about the office phones themselves?
They stop working when the network does, and that is expected. The failover is the mobile devices, not the desk hardware. This is worth saying to staff explicitly, because a dead desk phone reads as a total outage otherwise.
How long should we expect an internet outage to last?
Long enough that the firm should not wait it out passively. If it is not resolved within the first fifteen minutes, move to the mobile arrangement rather than continuing to hope, because that decision gets harder as the morning fills up.
Who should own this at the firm?
One named person with a backup, neither of them the busiest attorney. The role is small: keep the one page current, make sure the apps are installed, and run the annual test.

Tell the staff what to do, in three lines
Most of the confusion during an outage is not technical. It is that nobody told the people answering the phones what the plan was, so eight people each invent one.
The instruction fits in three lines and belongs somewhere everyone can find it. First: if your desk phone is dead, use the app on your mobile, and calls will still reach you. Second: tell one named person rather than calling support individually. Third: keep working, because the firm's numbers are still live.
That last line does more than it looks. Staff who believe the firm is unreachable behave as though the morning is lost, and they tell clients so. Staff who know the phones are working through their mobiles carry on, and clients never learn there was a problem at all.
Say it once when the arrangement is set up and again after the annual test, and put it in whatever the firm gives new people in their first week. It is the cheapest part of the whole plan and it is the part that determines what the outage looks like from outside the firm.
